Hall regulations

The hire of rooms and facilities is conditional upon the acceptance of the terms set out below:

Use of rooms is restricted to the accommodation and facilities paid for. No hirer should use any storage facility without the prior written approval of the Council, Trustees or Management Committee. Any items left or stored in the building are done so entirely at the owner’s risk.

2. Hirers should have in place suitable insurance for their event. They must also adhere to Health & Safety Legislations, including the provision of risk assessments and other good practice, policies and procedures.

3. Payment for any room or equipment hire must be made in advance, excepting when an agreement exits for long term hire. Long term hire will be subject to the payment of an invoice on monthly terms.  All cancellations will be charged at 50% of the original cost if less than 24 hours notice is given.  Any deposit paid is non-refundable.

4. Furniture and equipment must be used solely for the purpose intended. Crockery must be “properly” washed using a proprietary brand of washing up liquid and returned to the storage cupboards provided.

5. Any accidental or other damage to any part of the building, furniture or equipment must be reported as soon as practicable to the Town Clerk’s Secretary. All damage must be paid for based upon the securing of an independent quotation.  Subject to a £25 refundable deposit being paid by all one off users to act as a contribution to any damage or incident caused during the hire period.

6. Only the Council’s appointed representative or agents should be engaged to provide any service unless prior written confirmation and approval to use another supplier of goods or services is secured from the Town Clerk, Management Committee Officer of Clerk to the Trustees.

7. If food is to be heated only equipment provided by the Council, Trustees or the Management Committee is to be used. Special care must be taken to ensure that steam vapour is kept to a minimum.

8. None of the Council’s provided equipment is to be adjusted or tampered with.

9. In no circumstance is disco smoke or special effects equipment to be used.

10. Any item used at party events, especially balloons must be taken away when vacating the building. Balloons set off the intruder alarm system.

11.  If accommodation is to be vacated prior to the time stated the hirer must inform the Council’s representative.

12. The hirer must familiarise themselves and all members of their group with the emergency procedures and escape routes. In the event of an incident the hirer must take responsibility for all members of their group. *  Numbers must not be allowed to exceed those indicated on the booking form.

13. Hire is deemed to begin and finish at the time period paid for. An extra charge will be applied if the actual time of hire is exceeded.  Entertainment must stop at 11.30pm to allow the building to be closed at 12 midnight.  This is a condition of the Licence held.
